Submission Process: Extended Abstracts and Full Papers

Please note that, for this edition, you may first submit an extended abstract and, upon acceptance, submit a full paper. Here’s a guide to the entire process.

 Prepare your Manuscript

  • Choose Your Format: You may submit either an extended abstract (up to 2 pages) or a full paper (8–12 pages). A single-spaced page is approximately 600-800 words. Submissions that exceed these limits will be rejected.
  • Follow the Templates: All submissions must adhere to the official conference templates to be considered for publication and indexing.
  • Double-Blind Review: To ensure an anonymous review process, your manuscript must be in PDF format.
  • Language: All submissions must be written in English.

Submit Your Work

  • Platform: All submissions should be uploaded to the conference’s Submission Platform. Click here to access.
  • Deadline: Be sure to submit before the deadline. Late submissions will not be reviewed or included in the program (deadline here).

The Review Process

  • Your submission will undergo a double-blind peer review based on its originality, technical depth, correctness, relevance, contributions, and readability.
  • Originality: Please note that all submitted manuscripts must be original and not previously published or presented elsewhere.

Next Step for Accepted Abstracts

  • If your abstract is accepted and you would like to submit a full paper for publication, please revise your work accordingly and follow the full-paper submission guidelines.

Final Version

  • Full Paper – Once your work is accepted, you must submit a final version by the specified deadline including Springer documents. Submissions that do not provide a final version with authors data will not be published in the Springer Book and only in the Conference Proceeding.
  • Extended Abstracts – Once your work is accepted, you must submit a final version using the Proceedings template for publication

Publication & Indexing

  • Accepted extended abstracts will be published in the conference proceedings.
  • Accepted full papers will be published as a Springer book chapter and indexed by Scopus.
  • Registration: At least one author for each accepted paper or abstract must register for the conference and pay the registration fee until the Early Bird deadline (April 15th).
  • Presentation: An in-person presentation is mandatory for your work to be published.
  • Open Access (OA): By default, these chapters are not openly accessible to the public. If you want to publish your chapter as Open Access, you will need to contact the conference organizers. Be aware that this option comes with a fee (approximately EUR 2,290 for a chapter up to 40 pages). We highly recommend checking with your institution or funding body, as they may have an existing agreement with the publisher that covers this cost.

Important Notes

  • Paper Limit: As the corresponding author, you can submit and present a maximum of two papers or extended abstracts.
  • Authorship: You may list up to 6 authors on each submission
  • Publication (Springer or Proceedings): only one publication will be accepted per manuscript.
  • Important note: accepted papers will be published, but they cannot be published elsewhere. If authors are invited to a Special Issue of one of the conference’s Journals, the papers will need to be substantially expanded before publication, but in these situations, the authors will be informed of all the steps.
